Deleting License Keys

You can delete one key, many keys at once, or a key on an order while editing it. What happens depends on whether the key has any history:

The key has...What happens when you delete it
No history. It was added, but never assigned to an order or revealed.The key is permanently deleted.
History. It was assigned to an order, revealed, returned, or restocked.The key is marked as deleted. It's removed from your inventory and unavailable to the customer, but its records are kept.

Why keys with history are kept​

A key's history is used elsewhere in the app. Permanently deleting it would also erase:

  • Order history. The order would no longer show that the key was assigned, returned or restocked.
  • Reveal logs. Every time the customer revealed the key, with the date, IP address and browser. These are often your best evidence in a chargeback or dispute.
  • Analytics. Return and restock charts, totals and rates are calculated from key history. Deleting keys would change the numbers for past periods.

Marking the key as deleted keeps all of this, while making sure the key can never be used again.

What a deleted key means​

For your customers

  • The key no longer appears on their order status page.

For your inventory

  • The key is removed from your available keys and your Shopify inventory counts.
  • It's never assigned to a new order, and never affected by returns, refunds, chargebacks, or automatic restocking.
  • It doesn't count toward Key Uniqueness, so you can add the same key again if you need to.

In the app

  • The key still appears on its order, marked Deleted, so the order's history stays accurate.
  • It's read only: it can't be returned, restocked, edited or deleted again. Its history shows when it was deleted, and by whom.
  • Past reveal counts, restock counts and analytics don't change.
  • It's no longer counted in the active key totals on orders, products and variants.

Finding deleted keys​

Deleted keys are hidden from your license keys list until you choose to include them. Key exports include each deleted key's deletion date, and order exports mark deleted keys as deleted.
